Privacy Policy
This Privacy Policy explains how Behavioral Research Solutions LLC, through its EnsembleCoding™ service (“we,” “us,” “our”), collects, uses, stores, and discloses information when you use our services. By uploading data to this service, you acknowledge that you have read and agree to these terms.
1. Information We Collect
- Account and authentication data (such as UID and login metadata).
- Files (CSVs) and text prompts you upload for analysis.
- Job metadata including selected LLM models, status, timestamps, and output links.
- Operational logs used for security, billing, and fraud prevention.
- Checkout and payment references, payment status, and billing contact information returned by Stripe.
- Records of your acceptance of our Terms and upload declarations, including document versions, your account identifier, and a server timestamp.
2. How We Use Information
- To facilitate the routing of your uploaded content to third-party model providers.
- To enforce legal terms and prevent system abuse.
- To investigate security incidents or policy violations.
3. LLM Provider Processing & Terms
To process your analysis, we transmit content from your uploaded files and your prompts to the third-party model providers used for your job, which may include OpenAI, Anthropic, Google, and xAI. Provider handling of that content, including retention and use, depends on the applicable service, terms, and API configuration. Before submitting content, review the applicable providers' terms, privacy notices, and usage policies. Do not assume that all providers apply the same data practices.

We also use Google Firebase and Google Cloud for hosting, account authentication, file storage, job records, and analysis processing. Google receives account information, uploaded content, outputs, and operational metadata needed for these functions. Stripe processes payments and receives payment details you enter at checkout; our application does not collect your full payment card number. See Google's Privacy Policy and Stripe's Privacy Policy.
Pages also load fonts from Google Fonts and application libraries from external content delivery networks. Those services may receive your IP address and browser request information when your browser retrieves those resources.
The Service uses browser storage and authentication technologies to maintain sign-in, checkout routing, and job navigation. Your browser may retain these records until they expire or you clear site data.
Your information may be processed in the United States and other countries where our providers operate. Privacy protections may differ from those in your location. The provider terms and any applicable data processing agreements govern their processing; we do not promise that data stays in a particular country.
4. Accuracy of Outputs
Output generated by Large Language Models (LLMs) may be inaccurate, incomplete, or biased. EnsembleCoding™ provides these outputs "AS IS" and makes no guarantees regarding the factual correctness or suitability of the results for any specific purpose. You are responsible for the independent verification of all AI-generated content.
5. Limitation of Liability
The Terms of Service describe applicable liability limits. Nothing in this Privacy Policy excludes our legal obligations or limits privacy rights or remedies that cannot lawfully be waived.
6. Prohibited and Illegal Use
You must not upload personally identifiable information (PII), protected health information (PHI), classified information, or other sensitive or prohibited content. You may not use the Service or its outputs for employment, housing, credit, insurance, legal, medical, or other high-stakes decisions affecting people's rights, safety, or access to essential services. Unlawful, harmful, or deceptive use is prohibited. We may remove or delete content we reasonably believe violates these rules, block access, and preserve relevant information where needed to comply with legal obligations or investigate abuse.
7. Data Retention
Uploaded files, prompts, analysis outputs, and associated job metadata are retained until you request deletion, unless we remove them earlier for a policy violation or must retain them to meet a legal obligation. To request deletion, email behavioralresearchsolutions@gmail.com from the email address associated with your account and identify the account or jobs concerned. We may need to verify your request before processing it. Do not include sensitive content in your request.
The Delete Permanently control in job history requests deletion of a finished job's original upload, generated outputs, checkpoints, and active job record. Active or unsettled jobs may require cancellation or support assistance first. If deletion cannot be completed, the Service reports an error so you can retry or contact us. For account-wide deletion or data outside that job, contact us by email.
Deleting a job does not automatically delete payment records, acceptance records, security logs, or backup copies. We retain these separately where needed for accounting, legal claims, security, or recovery, and review them for deletion when those purposes end. This retention policy describes our Service; third-party provider retention is governed by the applicable provider terms and settings described above.
8. Security
While we implement reasonable safeguards to protect your data, no internet-based service is 100% secure. We cannot guarantee the absolute security of your uploaded content.
Result download links contain access tokens. Anyone who obtains a link can download that file, so treat links as confidential and share them only with authorized recipients. Older results may have public download URLs; contact us to request deletion or review of an older link.
9. Your Declarations & Warranties
- You own all rights to the uploaded content or have obtained all necessary legal permissions to process it via third-party LLMs.
- The content contains no sensitive or prohibited data, including PII, PHI, or classified information, even if you have permission to share that information.
- Your use of the data complies with all applicable privacy, research, and data protection laws.
- You will not use the Service or its outputs for employment, housing, credit, insurance, legal, medical, or other high-stakes decisions.
10. Changes
We may update this Privacy Policy. For material changes, we will provide notice through the Service or by email before the changes take effect, stating the effective date. If a change must take effect sooner to meet a legal requirement or address an urgent security issue, we will give notice as soon as practicable. We will obtain additional consent where required by applicable law.

Depending on your location and the laws that apply, you may have rights to access, correct, delete, or obtain a copy of your personal information, object to or restrict certain processing, withdraw consent where processing relies on consent, or appeal a decision about a privacy request. Contact us to exercise applicable rights or appeal a response. We may verify your identity and will respond within applicable legal deadlines. You may also have the right to complain to your local data protection authority.
